Administrative services
The specialist society administrative services from the AAGBI range from the provision of a central London postal address and telephone number to full association administration management.
The service is designed to offer a professional level of support as expected by association members whilst at the same time being tailored to the needs of association in question. To allow the service to be customised the services offered are split into components. A list of the main service components available can be found below.

Services Available
Use of address
Use 21 Portland Place as your society’s registered address. As well as a prestigious London address you will also benefit from a mail sorting and forwarding service arranged to your requirements.
Telephone
All specialist societies have a dedicated telephone line, manned by the specialist societies coordinator. The telephone line is answered in the name of the specialist society and queries dealt with appropriately. Where necessary queries will be forwarded as required.
Secretarial service
We are able to offer as much or as little of a secretarial service as you require. We can send out notices of your meetings and agendas, and subject to availability, the Specialist Societies Coordinator can assist in taking minutes of your meetings if required.
Membership database management
Let the Specialist Societies Coordinator manage your database, thereby ensuring continuity in the membership database and preventing any lapses when executives change.
Mail-shots
Signing up to a Service Level Agreement at the AAGBI entitles specialist societies to two free mail-shots to all its members per annum. Subsequent mail-shots will be at a heavily discounted cost.
Election Management
Provide us with the details and we will run your society elections for you, following your laid down timetable and collating the results.
Collection of subscriptions
The Association is able to offer specialist societies a more efficient method of collecting subscriptions. Go the direct debit way – its more cost effective under the auspices of the AAGBI.
Processing payments
Accepting credit card payments from members can sometimes be a problem for smaller societies who are then constrained to accept payment by cheque only. Let the Specialist Societies unit manage your payments and allow your members the flexibility to pay by card.
Financial advice
Specialist Societies can utilise the services of our Financial Adviser. Independent financial advice from the experienced advisor to the AAGBI.
Publications, Newsletters
Provide us with a draft of what you would like to include in the newsletter and we will produce a professional newsletter/publication for you at a highly reduced cost.
Meeting room
Specialist Societies signed up with the AAGBI are entitled to two free uses of a meeting room per annum, subject to availability. Further uses of the room will be at a specially reduced rate.
Catering
Hold your meetings at 21 Portland Place and utilise our excellent caterers, who provide a selection of hot or cold meals as well as buffet lunches.
Events
The Specialist Societies unit is able to offer a complete conference and event management service. Please see the Conference & Events section for further details.
Website
The Specialist Societies unit is able to offer a complete website service including design, construction and maintenance of new and existing sites, domain registrations and email routing, all at a much lower cost than commercial companies. All websites are maintained by in-house staff at the AAGBI so any changes to your site are only a phone call away from being made.
